Privacy

The short version: we collect an email address and what you tell us about your EDI mandate, we use it to send you the readout and to follow up on it, and one reply stops it.

Who this is from

This site, erpintegrators.com, is operated by Solvync Inc., a company incorporated in Alberta with its registered office at 431B 41st Avenue NE, Calgary, Alberta T2E 2N4. ERP Integrators is a product line of that company.

Three laws apply: the federal Personal Information Protection and Electronic Documents Act, Alberta's Personal Information Protection Act, and Canada's Anti-Spam Legislation. Where they differ, this site is built to the strictest of them.

What we collect, and why

The Requirement Check is two steps, and the split matters. Step one is stored before an email address is ever requested.

  • Step one: a company name and an answer

    Which customer mandated you and where you stand today. Somebody who stops here has handed over a company name and an answer, and nothing that identifies a person.

  • Step two: how to reach you

    Your email address, name, company, Odoo version and hosting, and anything you type into the notes. Used to write your readout, send it, and follow up on it. Used for nothing else, and never sold, rented or traded.

  • Recorded alongside a submission

    The page you landed on, the site that referred you, campaign tags in the link, a country and region code, your browser's user agent, and a one-way keyed hash of your IP address. The enquiry record keeps the hash and only the hash; it exists to stop the form being flooded. The visit counter's separate handling of the address itself is described below.

  • How visits are counted

    Two things count a visit. Ours runs on our own server and sets no cookie: the page, the referring site, your browser's user agent, the network address the visit came from, roughly where you are to city level, and a keyed daily digest that groups one day's pages into a visit. The address is kept for up to 12 months so our own dashboard can estimate a visit's location and network operator, and so abusive traffic can be traced when it happens. Google Analytics is the second counter. It runs on every page and sets its own cookies.

  • Documents you choose to attach

    Send only what you are permitted to share. We treat it as confidential, we do not publish it, we do not name your customer publicly, and we destroy it on request once your readout is written.

The two things that count a visit

One is ours and one is Google's, and that is the difference that decides how much of it you can refuse.

Ours, and it sets no cookie
The page you viewed, the outside site that sent you here, your browser's user agent, the network address the visit came from, and a rough location resolved on our server from a bundled database. On our operations dashboard the stored address is resolved further, through a geolocation lookup service, into an estimated city, postal area and network operator. That estimate reflects where the address is registered, which is often the network provider's equipment some distance from the visitor, so we treat it as approximate. The address is erased after 12 months. The keyed digest that groups pages into a visit changes daily, so the counter cannot follow you from one day to the next. The user agent lets us separate crawler traffic from human visits.
Google Analytics, and it sets cookies
It loads on every page. Google receives the visit, roughly where you are, and what brought you here, and it stores its own cookies in your browser to recognise a return. Advertising and personalisation are switched off in the tag, because no advertising runs on this site. To refuse it, use your browser's tracking protection or an extension that blocks it. The rest of the site works unchanged.

Consent, and how to stop it

When you hand over an email address, the exact words that were on the screen beside the button are stored word for word, with a digest and a version marker. If you ever ask what you agreed to, the answer comes out of the record.

To stop it, reply to any message from us and say so, or write to info@solvync.com. Every message carries a working unsubscribe valid for at least sixty days. Withdrawal is honoured within ten business days at the outside and in practice immediately, and it is recorded in a log that can only be added to. Stopping the messages does not delete what you already sent us. Ask for that too and it is deleted.

Your information is held outside Canada

Some of the suppliers that keep this site running operate outside Canada, on infrastructure in North America, so what you send may be stored and handled in another country.

While it is outside Canada it is subject to the laws of the place it is held, and courts and government agencies there may in some circumstances be able to compel access to it under their own law, including in ways that would not require anyone to notify you. That is true of any organisation using infrastructure outside Canada.

Alberta's Personal Information Protection Act requires us to tell you this and to name someone who can answer your questions about it. That is the privacy officer, reachable below. Ask and you will be told which countries are involved and how your information is handled by service providers outside Canada.

How long we keep it

These are the periods the system enforces on a schedule.

A step-one answer that never became an enquiry
Deleted after 90 days. It holds nothing that identifies a person in the meantime.
The address, its keyed hash and the browser string
Erased after 12 months. Enquiries store a keyed hash of the address; the visit counter stores the address itself. Both run on the same clock, and the remaining records keep only the rough location.
Our own visit counter
Each page-view record is deleted after 13 months. That keeps one full previous year available for comparison.
Your enquiry and the readout we wrote
Kept while it is live and while we have a business relationship. Ask for it to be deleted and it is deleted.
Anything Google Analytics collected
Held by Google for 14 months and then deleted by them. The clock is theirs and 14 months is the shortest the product offers, which is why it is set there.
The consent record
Kept longer, because a regulator can ask about a message years later and this is the only proof of what you agreed to.

What you can ask for

You can ask what we hold about you, ask us to correct it, withdraw your consent, or ask us to delete what you sent. Unless we are legally required to keep a specific record we will delete it and confirm that we have.

Write to info@solvync.com and we will answer within 30 days. There is no fee for a reasonable request. Everything travels over an encrypted connection and access is limited to the people who need it to answer you.

If our answer does not satisfy you, you can complain to the Office of the Privacy Commissioner of Canada or to the Office of the Information and Privacy Commissioner of Alberta. You can go to either of them directly, and telling us first is a courtesy.

This page carries the date it was last changed, which is 18 September 2026. If we start collecting something new or using what we hold for a different purpose, this page changes first. This site is not directed at children and we do not knowingly collect personal information from anyone under 18.
